CMMI-PBO/TOSSP process management system

  • Template The template of the process toolset provides the templates and samples involved in the course of implantation, which makes it more standard and convenient to prepare the documents involved in the project process. At the same time, it provides consistent support for the process documents. Therefore, it improves the capability of the organization to implement the project process.
    Each template in the project process toolset is associated with document involved in the corresponding PA activity.

  • Guideline The guideline of the TOSSP process management toolset describes the guideline and strategy that need to be followed in the project process. The process toolset provides a lot of guidelines, which provides the rules to follow in the process implementation, and offers good support for the process documents. Referring to these guideline documents can effectively assist in the process implementation. Therefore, it improves the organization's capability of implementing process.
    Each guideline document in the process toolset is associated with standards that need to follow in the corresponding PA activity.

  • Check List The Check List document in the process toolset provides the check list for checking the process implementation and documents created during the course of process. It further standardizes the checking activities in the process, so effectively assists the process implementation of the organization. These check lists is very helpful for QA to check the problems existing in the process and the documents generated, at the same time, each member of the organization can refer these check list to check his/her job.
    Each Check List document in the process toolset is associated with corresponding PA activity.?

  • Process Documents The Process Documents in the TOSSP process toolset mainly describe the strategy, goal, accessing standard, role, process description, process description flow chart, output, metrics, cutting and QA activity adopted in a process. The details of these process documents have significant reference value for project implementation process.
    Each process document in the process toolset is associated with corresponding PA activity.

  • IPM Tool

    Project manager: Arrange the project in order for management.
    Project manager: Build up an environment in order for the collaboration among group members.
    Project undertaker: Arrange the subtask for the project undertaker to execute.
    Project manager: Grasp the whole project through the task status, cost and RFS.
    Project undertaker: Update the task, report the task expenses and communicate with other roles.
    External task undertaker: Update the task and communicate with other roles. (Reflect the CMMI system integration management.)
    Project undertaker: Respond to the status request (RFS, Request for Service).
    Project manager: Monitor the project status through the RFS.
    All roles: View the project status.
    The project manager can assign access or view permission of different levels for different role. The roles assigned in above resource will automatically distribute to the internal and external group members. In the role area, you will see 10 default roles. Here are some examples for access permission:

    Project level (the most advanced)

    Task level (the second level, and subtask level): Bulletin and notice

    Full access Read only Access denied

    The project completion rate is calculated based on the sum of the tasks (or subtasks) completion rate. The project manager should plan main tasks and assign the task manager who handles the task (i.e. the task undertaker). The task undertaker can plan the subtasks under the task, and update the status of each subtask. The summed task completion rate can stand for the completion status of the whole task. Then, at the top project level, everyone can see the status of the whole project.

    After the project is established, the project manager may need to send information about the updating of the project to (internal or external) project team members. The internal members view the project in the list with their TOSSP account. The external contractors can access the project through login with external ID and password.
    After the task is assigned to the task undertaker, the task undertaker can assign the subtask to himself or others. Each task undertaker is responsible to complete and update the task assigned by the project manager. Therefore, the project manager can control the schedule, request updating or provide necessary help.
    The project manager can also ask for the status report through the RFS. Relevant tasks or members can ask for RFS, too.

    When the task undertaker completes a task, he/she should update the status in the system. The project manage can real-timely monitor the project status by checking the figures in the project level page.
    The project manager should pay attention to following key points:
    1. Project problems;
    2. General completion rate;
    3. Whose working process is behind schedule, who may need help;
    4. Project details;
    5. Expenses status;
    6. Completion status of each subtask.?

    PBO/TOSSP Portal

    As for the employee, it manages everyday new work items, and manages or shares them
    As for inside or outside project team, it can send the messages, and the employee can read the directions from the superior, and give feedback for the message, realizing real-time communication.
    The employee can submit an expenses report to the supervisor.
    The manager can read the feedback of the sent directions, and set up relevant working goal for the employee.
    Submit the expenses report;
    Approve the expenses report;
    Set up a goal;
    Approve a goal;
    Request the employee to report regularly;
    Prepare the status report;
    View the employee status report and give a score;
    View the status report;

    Audit Tool

    Check that whether the project activity meets the standard of relevant process in the course of project, the Audit Tool (Project Audit Tool) collects all audit data, including audit report, non-compatibility problems as well as areas that need improve, and provides convenient data entry and analysis.
    It includes five roles of Administrator, QA Manager, Auditor, Project Manager, and Project Team Member, and personnel of corresponding role can log on the Audit Tool to complete his own job.

    QA Tool

    QA Tool (Quality Assurance Tool) is a web-based process quality assurance tool. With the tool, the project QA can conduct MPR (monthly process review), and the organization QA can implement QA audit. The tool includes the checklists of every stage and different process fields in the project. In the project QA audit, the project QA submits the QA report by the means of answering a series of questions, while records the non-compatibility problems and areas that need improve.

    LC Tool

    Project Lifecycle Selection Tool (LCS Tool) can choose the most appropriate lifecycle from a series of optional lifecycle models. According to the project type as well as various other necessary information (such as workload, team size, complexity, demand clarity, etc.), it recommends the most appropriated lifecycle based on a computing matrix.

    Skill DB

    Skill DB Tool (Skill Management Tool) can help the supervisor to grasp each employee's technical skill and project experience, and choose appropriate engineer and technical manager for appropriate project, as well as to conduct retrieval and statistics for the skills of all technical personnel. At the same time, it shows the growth status of all skills and project completion status for each employee during certain period.
    Main functions of Skill DB:
    Record each skill and project experience for all technical personnel, and keep these materials in the database as a part of each employee's basic material.
    When there is new project, check the technical personnel who meet certain condition with any condition through the web, to find the personnel who is suitable for the project.
    Establish a skill history library for each technical personnel, and store the existing skills into the history library at proper time, to reflect the historical change and growth status of each employee in respect of technology.
    Conduct statistics on every technical index for the technical personnel across the whole company, to reflect the whole technical strength of the company.

    Training Tool

    With the system, the training managers can prepare training with different levels for the whole organization, each department and project, collect the training feedback information and keep relevant information of each time of training. What's more, it can view the historical data of training, helping the organization to setup the future training plan. The project manager can arrange training for members of every project according to the set training.

    Verification Tool

    It is for recording and finding the defect in the product.
    -Establish the plan that need improve and perfect
    -Simplify the peer review process activity
    -Review the efficiency assessment
    -Track the defect improvement process

    Metrics Tool

    Core Metrics: It corresponds to the requirements for product quality and productivity required by organization's goal, and can be tracked and controlled within the organization.
    Project Metrics: The project collects and submits the basic data. It can also be considered as the measurement standard of the internal process capability of the project level.

    RCA Tool

    Root Cause Analysis (RCA) Tool is automated RCA process activity. During the period of assessment and testing, it analyzes all the defects detected, avoiding the similar mistake in future projects. It can generate various reports, to provide corresponding defect information for future projects.

    Process Feedback Tool

    Process Feedback Tool is to gain such feedback information as updating and request regarding the organization process, knowledge sharing, tool and technology for the user. Besides, this tool also provides the assignment, updating, tracking feedback information for the administrator/feedback information person in charge/process management team. And it can manage the whole tracking process through email. At the same time, the user can also share the knowledge of best practice, lessons learnt and defect prevention through the tool.
